Appointment reminder email templates to adapt
A useful reminder lets someone check their appointment without finding an older email. Include the service, full date and time, plus the location and a way to handle changes. State the business's time zone when there could be confusion.
Copy these examples into your own email and replace every bracketed field. They are wording for manual use, not a feature for editing Separalo's automatic emails. Include only details and instructions that apply to that appointment.
Check the message before sending
- Check the current appointment's date and time, especially if it has already changed.
- A private link belongs to one appointment and its client. Do not replace it with the public link for new bookings or share it with other clients.
- Do not promise rescheduling is still available after your change deadline. Include the business contact when the client needs to speak to you.
- If an automatic reminder is already enabled, check whether another manual message is needed. Avoid repeating the same notice without adding information.
Turn on the reminder once
- Open Settings and find “Customer alerts.”
- Enable “24-hour reminder.”
- Save the change.

Separalo sends the reminder roughly one day before appointments with an email address that are confirmed or awaiting your approval. It includes the service, date, time and “Manage my booking” link.
Keep the appointment up to date
The email takes its details from the booking. If the time changes, save the reschedule on the existing appointment so the calendar reflects the agreement.
For example, if a lesson moves from Tuesday to Thursday, change that date on the booking. The client receives the rescheduling notice with the old and new times.

Example: a Thursday appointment with 24 hours’ notice

The customer’s change deadline ends. The reminder may arrive after this time.

The appointment starts.
The reminder is scheduled roughly a day before the appointment and may arrive after a 24-hour change deadline. If you want clients to have time to make changes after receiving it, choose a shorter period under “Cancellation notice.” For example, with 12 hours’ notice, a Thursday appointment at 10 am can be changed until Wednesday at 10 pm.
Check bookings made at short notice
An appointment booked two hours ahead has already passed the reminder window. The client receives the verification and confirmation emails appropriate to that booking.
Clients booking through your public page must complete email verification to receive the reminder. If that step is missing, its status shows that verification is pending.
